Administrative Assistant
Full-time. Tues. – Sat., 9am – 5pm
Reports to: Executive Director
Full Time, 35 hr. week
Responsibilities:
Customer Service
- Serve as receptionist including welcoming visitors, answering phones. Respond efficiently & accurately to inquiries regarding exhibits, programs, membership, other local attractions, and directions.
- Provide visitor orientation and occasional tours of exhibits.
- Promote membership, classes, programs and events by providing verbal and written information to visitors and handling class registration.
- Schedule group tours, meetings, and facility rentals.
- Distribute/collect program evaluation materials and visitor surveys.
Administrative Support
- Provide administrative support including clerical and errands.
- Create and maintain multiple databases.
- Maintain accurate attendance records and create monthly & annual reports.
- Provide marketing support including press clipping, coordinating bulk mailings.
- Maintain and update website.
- Provide program support as needed including helping with special events, classes, exhibit installations and other duties as assigned.
- Process invoices, cash receipts, check requests for bookkeeper.
- Report payroll hours to payroll company bi-weekly.
Shop
- Handle retail sales, ticket sales, maintain displays, take inventory, order stock, process cash receipts.
Volunteers
- Coordinate volunteer recruitment, training, schedules and recognition.
- Maintain accurate volunteer records.
Office Management
- Ordering supplies.
- Coordinating repair and maintenance of office equipment.
Other duties as assigned.
Qualifications:
- Minimum of Associates Degree in Business or related field, plus 2 years of office experience, or 4 years of relevant experience.
- In-depth knowledge of word processing, spreadsheet and database software applications including MS Word, Excel, and Access.
- Excellent attention to detail and high level of accuracy.
- Strong interpersonal, organizational, and communications skills.
- Basic record keeping skills.
- Ability to prioritize projects, handle multiple tasks and meet deadlines.
- Must possess valid NYS driver's license and vehicle for travel and errands.
